Transition requests are created when a user attempts to make a change that requires approval, such as updating a task status or reassigning responsibility.
Who Can Approve or Decline Transitions? #
Only users assigned to the workflow’s approval steps (for example, Admins) can update the status of a transition request.
Step 1: Open the Transition Request #
- Go to Workflows → Transitions
- Locate the transition you want to review
- Click the record to open the Transition Details page
On this page, you can review:
- The affected record (for example, the task)
- The requested change (From → To)
- The requester
- The reason for the request
- Any existing adjustments or history
- The current transition status
Step 2: Review the Affected Record (Optional) #
If you need more context:
- Open the Actions dropdown
- Click View [Record Type] (for example, View Task)
This opens the original record in a new tab so you can review its details before deciding.
Step 3: Update the Transition Status #
- On the Transition Details page, open the Actions dropdown
- Click Update Status
- In the dialog, select one of the following:
- Approved – the requested change will be finalized
- Declined – the requested change will be rejected
- Confirm the action
Important:
Once the transition status is updated, it cannot be undone from the transition page. Any further changes must be done directly from the original record (for example, by editing the task).
What Happens After Approval or Decline? #
If Approved #
- The transition status is updated to Approved
- The requested change is applied to the original record
- An adjustment entry is added for audit purposes
- The action is logged in the transition history
If Declined #
- The transition status is updated to Declined
- The original record remains unchanged
- The decision and timestamp are recorded for reference
Audit & Traceability #
Every approval or decline:
- Records who made the decision
- Records when the decision was made
- Stores a clear description of the status change
- Preserves a complete approval trail for compliance and accountability
