Use Adjust Stock to add quantities received or deduct quantities removed from a Simple product’s inventory.
An adjustment changes the stock by the quantity you enter. Enter the amount to add or deduct, rather than the final stock balance.
1. Open Adjust Stock #
Go to Ecommerce → Products and locate the Simple product.
Select Adjust Stock from the product’s row actions, or open the product and select Adjust Stock.
Under Action To Do, choose:
- Add Stock to increase stock.
- Deduct Stock to reduce stock.
2. Add Stock #
Choose Add Stock and complete the following fields:
| Field | Required | What to enter |
|---|---|---|
| Quantity | Yes | Enter the quantity being added. The minimum is 1. |
| Currency Code | Yes | Select the currency of the stock’s buying cost. Only currencies configured in the product’s prices are available. |
| Unit Price | Yes | Enter the buying cost of one unit, rather than the total cost. |
| Received At | Yes | Enter the date and time the stock was received. This defaults to the current date and time. |
| Associated LPO | No | Select the related Local Purchase Order, if applicable. |
The form shows the product’s selling price for the selected currency as a reference. The Unit Price cannot exceed that selling price.
Submit the form to save the adjustment. The system increases the product’s stock and creates a stock batch containing the receipt quantity, unit cost, currency, and receiving date.
Example #
You currently have 10 units and receive 20 more, costing KES 500 each.
Enter:
- Quantity: 20
- Currency Code: KES
- Unit Price: 500
After saving, your stock becomes 30 units. The new batch records the 20 units received.
Tip: If the required currency is missing, add a selling price in that currency to the product first.
3. Deduct Stock #
Choose Deduct Stock and complete the following fields:
| Field | What to enter |
|---|---|
| Stock Batch | Select the batch from which the stock is being removed. The form displays its remaining quantity. |
| Quantity to Deduct | Enter the quantity being removed. This is required. |
| Why Is The Stock Reducing? | Enter a clear reason for the reduction. This is required. |
Check that you have selected the correct batch for the product. The quantity deducted should not exceed either the batch’s remaining quantity or the product’s available stock.
Submit the form to save. The system reduces the product’s stock and updates the selected batch.
Example #
You have 30 units, but 3 units are damaged.
Select the batch containing the damaged items, enter 3 under Quantity to Deduct, and explain:
“Three units damaged during handling and removed from usable stock.”
After saving, your stock becomes 27 units.
4. Check the Result #
A Stock Added or Stock Deducted notification confirms the adjustment.
Review the updated stock balance before making another adjustment. Both additions and deductions update the product’s actual and available stock quantities.
